The short answer

The answer depends on the systems, export quality, exclusions and provider’s process. Ask for a division of responsibilities before committing staff time.

List the tasks

Who inventories, exports, filters, de-identifies, packages and validates the records? Which tasks require administrators or legal reviewers? Who pays for rework?

Set a bounded pilot

A limited sample can reveal format and quality issues early. Agree what learning justifies further effort and what happens if the proposal does not proceed.

What to record before deciding

Keep the written scope, official provider source, unresolved questions and the person responsible for each check. Treat a marketing claim as a claim until it is reflected in the agreement. A directory entry does not approve the transaction or establish your rights to share the records.

Your next step

See where your company’s data could fit.

  • Begin with a company description, not an export
  • Review systems, retained history and exclusions
  • Compare the terms before sharing records
